Minutes: October 23,2008
Meeting was held at Hillsborough South Shore Community College room 222D.
Meeting was called to order at 9:05 by Steve Stancil, President, who thanked Dr. Keith and HCC for the meeting space.
Roll Call: Steve Stancil, President; Fred Jacobsen, V. Pres.; Beth Howard, Treas.; Nina Tatlock, Sec.; Suzanne Prach; Joan Shalleck; Sandy Council; Dolores Coe; Pete Smith; and Art Keeble
Minutes: Were sent by e-mail, but not read at the meeting. Minutes to be approved at next meeting.
Old Business: Debrief Plein Air Arts Festival
The Community Foundation of Greater Sun City Center has withdrawn the grant money and have also denied the grant written by Anne Madden. They have encouraged us to apply to do this next year.
We have insurance coverage until this time next year.
New Business: Debrief the Big Draw: Steve Stancil expressed his gratitude to Dolores Coe and Bruce Marsh for all of their valiant efforts on this event.
Dolores: Wished that we had had more time and felt that this was a grand experiment. Felt that it didn’t get realized in the schools as had hoped. But the positives were the gallery space and the public art projects. Feels that this was a prototype of an art center or space that could be used for workshops or mini classes. Thought it was difficult to communicate to get the word out to the immediate constituents. It proved a need for a central space that everybody can get to.
We need to set up a timetable because it could be supportable by grants which needs more lead time to accomplish. All of the problems and expense was due to a lack of time. She feels the Arts Council should not want ownership, but could act as a coordinator.
Steve asked if we should approach the Brandon Arts council. He feels we can do this again if our volunteers were multiplied and felt the communication was good within the group, but sometimes got criss crossed.
Dolores: Thinks it is much bigger than contacting Brandon, but that we should consider MOSI and the Tampa Museum of art.
Joan Shalleck: Asked how many paying members do we have?
Beth: We have added 5 members since Jan 1. We need to work on this and have someone to head up membership. We need to give them a reason to join and provide something like a newsletter that they will receive for membership.
Fred: Feels this could be a catalyst for the SouthShore & Bay area. Feels it can be a model of what people want to receive and that we should try to spread out workshops throughout the year. He stated we don’t own the Big Draw, it is an international event.
Sandy Council: Feels it was good economically, and we need to have strategic invitations to reach out to these areas. She feels some local businesses profited from this event.
Suzanne: Asks if we see the SSAC as just one venue, but not as the coordinator? The arts council could organize and manage the Big draw in this area. Maybe next year we could do a spin off like a “Big Click” to be a photo based event.
Joan: was thunderstruck by the overambitious scope. It just happened because of a groundswell of enthusiasm. We need to dream up and conceive of an event that we can handle and make sure the core event is a big success.
Dolores: There is a definite model to The Big Draw. She feels there are deep contacts in this community that can make things happen. The studio space was good as a prototype. She feels there is a deep need in this area for ongoing art workshops, and a need to get teachers involved.
Suzanne: Suggested that Phyllis Alexandroff holds a key to getting teachers involved.
Art Keeble: Teachers will do what Phyllis suggests. Art thinks we really have started something here. Invisions it becoming something like Chautauqua or Arrowmont school. Places to hold workshops in the off season where people would come to stay to take a workshop. There is a real buzz in what is happening here. Suggested we offer workshops in January & April, and the Hillsborough Arts Council would be glad to support something like that. Was wondering if the participants would have paid for the workshops.
Nina: asked one participant, who said no.
Dolores: This was Ruskin’s 100th anniversary, and we felt this was like a birthday gift to the community, since there is no place to buy art supplies in this community. Thinks some would have paid for workshops. Mentioned that Beth had signed over a gift certificate for one of the visiting instructors to stay overnight. Likes Art Keeble’s idea that this is a prime area for people to come to participate in this type of thing. People who came from outside of the area said it was a great idea. The Harry Potter illustrator would have come, but had a prior conflict. Mentioned we are heavily invested in drawing media and we could do instant workshops with materials we now have. She likes the idea of us subsidizing some things, but charging for others.
Suzanne: Asked if people were generous with donations.
Dolores: Thought our donation box was too subtle and nicely camouflaged.
Steve: Also likes having free access to some events and charging for others.
Fred: Suggested we have drawing workshop which could be membership drives. Stated that John Ruskin had started this as a free event for working people.
Sandy: Thinks we got two property owners in downtown Ruskin thinking about this and how it could tie in to the redevelopment.
Pete: Thought everybody did an incredible job in a short notice, thinks we need to start publicizing it now for next year. Suggested AAA listings and looking into outlets to get our information into. Thought flyers would have been good.
Dolores: October 11th came down to a dry run, but we found that we could pull it off. We now have a template in all of our notes. It needs to be spread out and set up in a timeline.
Debrief Art Frolic:
Joan Shalleck: Thought some paintings were stuck in the most unlikely places. She realizes the owners are willing to display the art, but feels they may not all be suitable. She suggests we come up with a site listing form. We should go through the neighborhoods to get contact names and information on sites that would be suitable for meetings, art, music & theater. We need to know what places are available for us to use.
Beth: The Art Frolic was thrown in on top of The Big Draw so we would have a big week end of art. Mentioned that Helen Solomon is art director with Valencia Lakes development which has a huge room & theater, which is a space we may be able to use. Feels we need to have a fund raiser to cover our expenses.
Oprah’s Angel Network: Fred and Helen Solomon are pursuing this at Camp Bayou
Lecture series for meetings:
Dolores: Suggested having panel discussions.
Suzanne: Feels we need more hands on programs, such as artists who give demonstrations.
Art Keeble: feels the area is rich with people to invite and that we need to invite people who are user friendly and have a good time with people, such as Patrick Lindhardt who did the book making presentation.
Fred: Suggested someone Hispanic to go along with Hispanic Culture month
Suzanne: Asked where will it be publicized, because PR only goes so far.
Fred: feels paid ads need to be budgeted.
Dolores: Usually you will get a follow up article after a paid ad.
Scheduled another board meeting in two weeks to discuss a timeline for next year.
Next Public Meeting: The final meeting for the year will be our public meeting

Budget: Beth gave the Budget, which I didn’t catch in my notes. Sorry Beth.
We have cut a deal with the RCDF to borrow money for our shortfall from the Big Draw.

SouthShore Arts Council Minutes: August 28, 2008

Thank you to the Ruskin Chamber of Commerce, where the meeting was held.

9:20 Am the board meeting was called to order by Fred Jacobsen, SSAC Vice President.

In Attendance: Fred Jacobsen, Beth Howard, Bruce Marsh, Suzanne Prach, Nina Tatlock, Joan Shalleck, & Art Keeble. Steve Stancil came in later.

Minutes were read. Beth made a correction to the previous minutes on the time of the art Frolic, which will be 12:30 - 3:30. Bruce made a motion to accept the minutes and Beth 2nd the motion.

Suzanne stated there had been questions on what quality of Art would be presented during the Art Frolic. Bruce told us there would be unframed salon style work that had been completed by participants during The Big Draw month on display at The Big Draw Studio. Beth stated other venues were: Harriet’s Flowers with a gourd artist; Marian Wilhelm’s and Beth didn’t know who would be displaying there; The South Shore Regional Library; Century 21 in Apollo Beach; & the South Shore Gallery in Apollo Beach.

Fred asked if we needed an indemnity clause for the artists participating in the Big Draw exhibit? Suzanne said she could supply us with the same one they use at the library. Fred also stated that he would do a press release about the South Shore art week end Oct.11 & 12.

Suzanne requested help to set up panels at the library on Oct. 10 in preparation for Oct 11 and to be taken down Oct. 17.

Old Business: The Big Draw. Bruce stated that we needed to make furniture on Sunday which would be easels or drawing benches,& 4X8 panels that can be moved around and also be used as easels. Rebecca Sexton Larson and her husband are building a camera obscura in the front southwest corner of the studio which will be ongoing throughout the month and also used in her workshop titled “Sunprints”. All sign up for classes and workshops will be at the Ruskin Library starting Sept. 2. Dolores is working on a condensed poster size schedule to put up at various locations. He was wondering if we needed copies for people to take home? M&M is giving us copying at cost and maybe we could put a page in the paper that people can tear out.

Art Keeble mentioned that it is on the Hillsborough County Art Council website, and that they have an e-mail & postal list of about 800 visual artists.

Fred suggested an insert in The Observer News could be reasonable.

Melody Johnson may help with asking for donations. She is going to meet with mosaic, and Fred may be going with her.

Bruce has been told that he needs to go to headquarters to get donations from Home Depot.

Joan hasn’t heard from Keaton’s or AOE, and is resubmitting the information by e-mail to Cheap Joe’s

Art Keeble asked about the 4X8 panels? Bruce explained they were luan panels on 2X4 frames that will be on legs which will make them able to be moved around. He thought we needed 10-12 of them and thought it would cost about $200.00. They have spent about $200.00 on cleaning supplies and the floor is now clean. There is also a small fridge & microwave at the studio.

Art suggested we get the word out to the Brandon art council and asked if we were charging for the classes & workshops? He thinks we should be charging. Beth suggested a locked donation box.

Suzanne suggested getting information to the Tampa Tribune Week-end Happening section and said she would send an e-mail to the Brandon art center.

Bruce also mentioned we still needed an attorney to check the contract with Michael Parker and that Michael is now living in Ruskin as an Artist in Residence.

Plein Air Art Festival: Steve has sent an e-mail to Bob Mohr for a report on the Plein Air Festival, but has yet to receive a response. He hopes we will be able to proceed with it. We discussed looking at doing it in a different way, as more of a publicity event with a sale of art at the end rather than awarding money. It would be good to use the grant money for publicity, the event reception, and to invite anchor artists as a draw to the festival. Bruce suggested the Gainesville Festival as a model to aspire to where it becomes a destination for the area. Art Keeble suggested using a different location as he got lost looking for Little Harbor last time.

Insurance: Steve is to meet with Lou on Sept. 10 @ 10:00am to set up a policy for 1 year that will include 8 meetings and events. Fred will also attend this meeting.

New Business: Art Frolic, This was discussed earlier in the meeting.

Other New Business: Suzanne Prach suggested we use the October Board meeting to plan our 2009 time table, and discuss the activities we want to do as a board. It was suggested that each board member take on 1 event. We need to show that we are credible and organized. Steve suggested we spread our schedule out more so that everything isn’t happening at the same time.

Nina brought up that we needed to add one more board member and that maybe we should pick a person from the performing arts area. Fred asked if we needed more than 9 members on the board? Art Keeble took a look at our By-Laws and noted there were some holes in them. He took a copy to work on.

Suzanne asked Art Keeble about the Community Cultural Plan. Art responded that he would send information about it, but that the funding for the plan has gone down. He did say that a lot of things are happening toward it though, such as the Brandon Arts Council and the SouthShore Arts Council.

Art Keeble told us that the Carrolwood Cultural Center is selling out events and that they had received eight million dollars. Fred stated that the RCDF is bringing on a consultant to look at an art center in the community using grants and low interest loans. Art asked Steve if the college would be building a theatre. Steve answered the college is willing to house and build around one if the community does it, but that would be in the last phase about 10 years out. Bruce stated that partnerships would be good and that Federal funds could be available.
